BCSO Spring Games- Elementary School

Athlete Registration – Sit at the table at the entrance (on right side as walking in from parking lot). Check in all athletes. Each School/Group should send 1 person to your registration table to check in. Give each group leader his/her packet. Make a list of any scratches (any athletes who did not come).
Volunteer Registration – Sit at table at entrance (on left side as walking in from parking lot). Check in all volunteers. Give each a nametag and lunch voucher and program. If extra volunteers show up, assign them to any vacant slots.
Greeters – Greet family members and spectators. Pass out programs.
Concessions – Volunteers will pass out water and Gatorade to anyone who asks during the entire event. Volunteers will prepare all lunch boxes to be distributed around 11am. Fix a box for each group. Each group should get a chick-fil-a sandwich, chips, cookie, drink for each person in their group. For example, if there are 24 in a group, they should get a case of soda, 24 sandwiches, 24 individual bags of chips, 24 individual cookies. There will be a few alternate items if someone has a nut allergy or other dietary restriction. 2 volunteers need to pick up the sandwiches at Chick Fil A by 9:40am. Please take a vehicle with enough room for 500 sandwiches and keep in mind that the bags of 65 sandwiches each will not be light. Do not wait for the sandwiches to arrive to start boxes. Go ahead and prepare the drinks, chips, cookies, water and just add sandwiches when they get there. After all athlete groups are served, volunteers may come get their lunches. If any food is left over, we will announce to make sure all athletes and volunteers have eaten. If so, then the food may be passed out to any who request it.
Fun Station – “Rock the Spectrum” is bringing some games/activities for athletes to do during their free time. Please assist athletes in participating in these activities.
Parade Line-up – Assist athletes in gathering for the parade in the track outside lanes near the field house. Please keep them out of the way of the torch runners who run a lap around the track starting at 8:40. After torch runners pass, please have them line up on the track and send them in parade at 9:00am after Tyler finishes his Welcome. Try to encourage a small space between each group. Parade will walk in front of home bleachers and enter bleachers on far side. Direct them where to go at finish.
Torch Run Line-up – Direct athlete torch runners to gather on track near Cauldron about 50 yard line. Prompt them to join law enforcement as they come in with the torch for a lap around Patton track at about 8:40am. Then line up the 4 athletes passing the torch to light it during opening ceremonies.
Event Leaders/Recorders – You are in charge of your event and keeping it running smoothly. You have the heat sheet and will announce each athlete. Each athlete will jump or throw twice, consecutively. The jumps are marked from the closest spot to the start line (usually the heel mark in the sand). The throws are measured from the spot where the ball or javelin hits the ground, not where it ends up rolling to. The farthest one is measured. You will record the time or greatest distance on the heat sheet. You will record 1, 2 or 3 indicating who placed 1st , 2nd, and 3rd on the heat sheet and give it to the award escort.
Start Assistant – When the event leader calls an athlete’s name, you will assist them in standing in the correct spot and prompt them what to do.
Markers – You will mark each jump or throw with a small stake with a ribbon on it. Make sure the stake is placed on the side for the jump so they will not jump on it. Place stake for jump at the spot jumper landed that is closest to the start line. Place stake for the throws where the ball first hits the ground, not where it rolls to. Roll or hand the balls back to the event starter. Measure only the greatest distance of the 2 attempts for the event leader to record. For races, if you are assigned a finish line lane, you need to know your athlete’s name and whether they came in 1st, 2nd or 3rd so the event leader can record their time. We will have automatic timers set up.
Staging – Sit divisions in rows awaiting their turn to compete. ie Division 1 sits on row 1, division 2 on row 2…
Award Escorts – As athletes finish performing, keep them all (the ones in your division) together. Take the 3 athletes together to the award platform. You will go to the closest award platform or the one with the shortest wait line. Get the heat sheet from the event leader and hand it to the awards team leader.
Awards – Make a huge deal over awards. Line them up on award platforms. Assist them, keeping them safe. If they are unable to get on the platform, place them directly in front of the appropriate platform. Announce loudly “For the softball throw in 3rd place we have Kim Michaels!” An awards volunteer places the bronze medal around her neck and everyone cheers. Then announce 2nd place winner and give out silver medal. Then 1st and give out gold. Have them all remain for a photo and more cheering. Then assist them getting off the platforms. Save all heat sheets. The ones who compete in MATP will line up in front of the award platforms and each get his/her name announced and that they participated in soccer kick, striking and putt and each will individually get 1 participation medal and cheered for. Everything is the same for them except they get 1 participation medal each for field events and 1 participation medal each for assisted wheelchair race, instead of gold silver or bronze medals.
If there is a time you are not specifically assigned a duty, please check with concessions or other volunteers to see if they need help or need a break. After field events are finished, the area including tent and chairs can be cleaned up. Softball tent and chairs will move in the grass closer to the start line for racers staging.
