The When Words Collide festival will take place from Friday, August 16, to Sunday, August 18, 2024. The Alexandra Writers' Centre is seeking volunteers to help ensure the success of this wonderful event! Various volunteer positions are available and while many involve half-day commitments, volunteers can also sign up for full-day shifts by selecting both morning and afternoon slots, or sign-up for two half day shifts on different days.
All volunteers will receive a complimentary meal, a volunteer t-shirt, WWC 2024 pin, a swag bag, and access to the hospitality room during your volunteer shift(s). Volunteers who commit to at least two half-day shifts or one full-day shift (8 hours) will receive free access to the festival weekend (except for the additional paid events such as the Master Classes and Saturday Night Showcase). For volunteers who have already purchased a festival ticket, you can attend a Master Class of your choice for free (only available while space remains open). To secure your spot in a Master Class, please email info@alexandrawriters.org. Please note that refunds will not be issued for previously purchased tickets.
Specific information regarding your shift(s) will be provided closer to the event. The morning shift runs from 9:00 a.m. to 1:30 p.m., and the afternoon shift from 1:30 p.m. to 6:00 p.m. This year, volunteers and guests/panelists will have access to a separate hospitality room!
All volunteers will receive a fabulous WWC t-shirt to wear during their shift. Please remember to sign up for a t-shirt size along with your preferred shift(s).
POSITION DETAILS:
ARTIST LIAISONS (experience required) - Volunteers will ensure that our Guests of Honour and Special Guests are well taken care of. Responsibilities include transportation arrangements (driver's license required), meet and greets, guiding guests to know where they are supposed to be and how to get there, and ensuring they are comfortable and well-informed about the event. We aim to make our featured guests feel as welcome as possible!
SATURDAY NIGHT SHOWCASE – Responsibilities will include set-up, registration/check-in at the door, managing the tickle trunk/costume corner, and other tasks throughout the evening.
MERCHANTS CORNER - Volunteers will assist merchants during the event by helping maintain an organized room and supporting the merchants. Duties include managing the shared author table, ensuring book sellers represent the author table, and assisting with the author signing table as needed.
HOSPITALITY - Volunteers will ensure that snacks and water are available in the break room designated for volunteers, guests, and panelists to decompress, eat, and engage in conversation. Volunteers will also assist at the volunteer check-in table located in the hospitality room.
BLUE PENCIL / PITCH ROOM - Volunteers will assist guests and keep track of attendee sessions.
EVENT LOGISTICS - Volunteers are needed for various positions during the festival. These positions have been divided into 2 areas: Registration & Information and Room Resets. Responsibilities include assisting with registration and information services at the front desk and ensuring rooms are reset after each presentation or workshop. The Session Logistics/Floater role will help provide information to guests, direct them to the right locations, and assist with any other logistical needs that arise during the event.
SOCIAL MEDIA - We require a volunteer to take photos and frequently post on IG and other SM platforms throughout the weekend.
