AZ 250 Traveling Museum (Liberty Bell) – First Visit to Prescott
Volunteer Shift Information & Schedule
Ceremony & Dignitary Support (Saturday Only – Priority Assignment)
Opening Ceremony: 10:00 AM
Required Arrival Time: 9:00 AM (1 hour prior)
Shift Time: 9:00 AM – 12:00 PM
This assignment supports the official Opening Ceremony and dignitary participation. Volunteers selected for this role must arrive promptly at 9:00 AM.
General Volunteer Shifts
Shift Length: 2.5 hours
Saturday, February 14
9:30 AM – 12:00 PM
12:00 PM – 2:30 PM
2:30 PM – 5:00 PM
5:00 PM – 6:30 PM
Sunday, February 15
9:30 AM – 12:00 PM
12:00 PM – 1:30 PM
Volunteers may sign up for one or multiple shifts.
Volunteer Roles & Descriptions
1. Ceremony & Dignitary Support
Saturday, February 14 | 9:00 AM – 12:00 PM
Total Volunteers Needed: 5
Roles Include:
VIP Liaisons (2)
Escort dignitaries, elected officials, and special guests
Manage staging, seating, and transitions
Serve as point of contact for protocol-related needs
Stage / Timekeeper (1)
Keep speakers on schedule during the ceremony
Coordinate closely with the MC and sound team
Media Liaison (1)
Coordinate press arrivals and interviews
Direct media to approved spokespeople and locations
Serve as point of contact for credentialed media
Runner (1)
Provide on-demand support during the ceremony
Assist with last-minute needs for speakers, staff, or media
2. Liberty Bell Entrance / Queue Control (Critical Role)
Volunteers per shift: 2
Responsibilities:
Manage the entry line and visitor queue
Enforce group size limits (20 visitors per viewing)
Track and communicate 10-minute viewing windows
Coordinate with Honor Guard and security
Maintain a respectful and orderly experience
3. Liberty Bell Exit Flow & Guest Assistance
Volunteers per shift: 2
Responsibilities:
Assist visitors as they exit the display
Ensure smooth transitions between viewing groups
Provide ADA assistance as needed
Keep exit pathways clear and safe
4. Community Booth Floater
Volunteers per shift: 2
Responsibilities:
Support community and partner booths
Answer general event questions
Troubleshoot minor issues or escalate concerns to event leads
Provide relief support for booth representatives if needed
5. General Event Support
Volunteers per shift: 2
Responsibilities:
Provide directions and event information
Assist with crowd flow and ADA access
Support families, seniors, and visitors with special needs
Act as ambassadors for the event and downtown Prescott
6. Volunteer Lead
Volunteers Needed: 1 per day (2 total)
Responsibilities:
Serve as the on-site point of contact for all volunteers
Coordinate with City staff, Prescott Police, and Chamber staff
Oversee volunteer check-in and shift coverage
Resolve issues and ensure smooth operations throughout the day
