We have recently started transitioning into a new onboarding process for families. It’s still a gradual transition, so right now some kiddos are still in our previous process while others are in the new one. Ultimately, the goal is still the same, completing a Wish Discovery Visit and beginning the wish journey, but the way volunteers initially contact the family may look a little different depending on which process the child is in. I’ll make sure to clarify that when I send assignments over so everyone knows how to approach things.
Previously, the process looked like this:
- Child is referred and medically qualified
- A Welcome Call volunteer contacts the family to gather basic information
- Required paperwork is sent to the family
- Once paperwork is returned, we assign Wish Discovery Visit volunteers
We’ve started transitioning to a new process because we wanted to improve a couple of things:
- We wanted Wish Discovery volunteers to feel more connected and involved in the family’s journey from the beginning
- We wanted families to receive clearer expectations upfront regarding wish eligibility and medical limitations
- We wanted volunteers to have more information and context before meeting with families
Now, after medical qualification, our Medical Intake Coordinator, Natalie, completes what we now call the Intake Call. During this call, she:
- Confirms family, contact, emergency, and medical information
- Reviews any medical limitations that could impact certain wish types
- Helps set expectations early so families are not surprised later in the process
For example, if a child would not medically qualify for air travel, that conversation happens upfront before a family becomes emotionally attached to a specific wish idea.
Families are also now sent a JotForm questionnaire before the Wish Discovery Visit. This gathers additional information such as:
- Communication needs and profiles
- Nursing or medical support information
- Likes, dislikes, favorites, interests, etc.
Some of these questions overlap with the Wish Discovery Visit form, but our hope is that this gives volunteers more background information ahead of time and helps everyone feel more prepared going into the visit.
One of the biggest and most exciting changes is that families in the new process have not yet officially been told they are receiving a wish. They know the child is medically qualified, but the Wish Discovery volunteer now gets to be part of sharing the exciting news that they are officially beginning their wish journey. We’re really hoping this creates an even more special and meaningful connection between our volunteers and families from the very beginning!
