CCCHG 2019-2020 Volunteer Signup

Hi CCCHG Member,

Our group is an all-volunteer force, and none of our positions are paid. To keep the group up and running, one parent per family is required to either plan (returning members) OR help with (new members) 1 field trip or social event per year. Above, we will initially have all the members' names listed, then when they sign up to volunteer on the grid below, we will remove their name from the "Still Needs to Volunteer" list above.

NOTE: If you don't want to plan/help with an event, you may select the $25 opt-out fee below and our treasurer will add that to your balance due. Also, if you don't fulfill your volunteer requirement, the opt-out fee will be required to be paid before rejoining the group for next year.

We have come up with some suggested event slots below to help round out the calendar and make sure there is something fun for members to choose from on a regular basis. Plug your name into a time and type of event you think would fit you best.

** NEW MEMBERS should sign up to HELP with an event
** RETURNING MEMBERS must sign up to LEAD an event (may not sign up in the "helper" slots that say "newbies only" -- but they may sign up for the "any member" helper slots)

You may be working with other parents who have signed up for the same event. This is a great way for moms to get to know each other as well. There is an area on the website with a list of possible/past events to get the wheels turning, and a planning worksheet to help you get started, both under the "events" tab. The group's volunteer coordinator can help you with any questions that may arise. You'll be able to see who else is helping with your event (AND what others have volunteered for), you can brainstorm together on what you'd like to plan, and you will receive an email reminder in plenty of time to start planning your event.

Once you are ready to plan, the event "lead" person will fill out the online event planning worksheet (its on the website under "events"), and we'll get it posted to the calendar, send out notices to members, and set up finance stuff for your event if needed. The event lead will also let our volunteer coordinator know if anyone signed up to volunteer with their event wasn't actually able to work it, so they can sign up to volunteer on another event. This may happen due to schedule conflicts, etc, and rescheduling is your responsibility if you miss working your event. Please don't wait til the end of the year to tend to this, you may run out of time and incur the $25 volunteer opt-out fee.

Try to have your event planned and the worksheet submitted at least 4 weeks before the event date, as it takes time after that to get things posted and announced, funds collected and group tickets purchased (if applicable), and members to plan to attend. For higher cost events (theme parks, plays, etc), it may take even more time, up to 6 weeks. (Some venues need copies of our 501c3 and other documents to give group rates, this takes coordination, and then collection of checks/cash then purchase of group tickets, etc....Members also need a reasonable amount of time to plan financially for these kinds of events for the best turnout.)

To summarize:
* All members must be listed in a position below to fulfill the volunteer portion of the CCCHG Group Membership requirement.
* Helping with an event your kids attend does not count as your volunteer requirement, UNLESS you are the designated helper on the signup sheet below (all parents help with things they attend, we need each parent to PLAN an event - unless they are new members)
* You must attend the event you plan
* You cannot just say "cool festival at xxx street next Saturday", you need to make it an event for a group to attend together and make it fun!
* This requirement is completely separate from any duties you fulfill while attending GRACE Co-op. Not all CCCHG members attend co-ops, and we keep the duties and requirements for membership in CCCHG and participation in GRACE Co-op separate, and they do not overlap.
