Para Los Niños Annual Fundraising Gala Dinner - Sueños - 2019 signup sheet

Come join us and volunteer for our Annual Fundraising Gala Dinner, this is our biggest fundraising event of the year on November 16th, 2019!

VOLUNTEER ROLE DESCRIPTIONS:

*SET UP - Need Volunteers to help set up.
10am to 3pm ; Nov-16-2019

*GREETER & LINE MANAGER (You are encouraged to sign up for a Live Auction role as well) You will welcome guests and be a liaison between guests and event staff as they arrive and wait in line at registration. 5pm until 7pm : Nov-16-2019

*SILENT AUCTION MONITORS & ITEM PICK UP – All night You will facilitate guest interaction with the silent auction, including overseeing the items, encouraging bidding and conversation, answering questions about items and closing bidding for items purchased at the guaranteed bid price. As each section closes, you will circle the winning bid numbers and take the two top bid sheets to your lead or to checkout. Once dinner starts, you will then sort and group the items by winning bidder and give bidders their items as the visit Item Pickup when they are ready to leave.
5pm until event is over; Nov-16-2019

*RAFFLE TICKET SELLERS - (You are encouraged to sign up for a Live Auction role as well) You will memorize a simple script and sell raffle tickets.
5pm until Raffle is over: Nov-16-2019

*DESSERT DASH BIDDER GRAB – (You are encouraged to sign up for a Live Auction role as well) You would offer guests the opportunity to purchase a chance to draw/win one of an assortment of Dessert offerings on display.
5pm until Dessert Dash is over; Nov 16-2019

*REGISTRATION/CHECKOUT – You will be part of the registration and checkout team. You will welcome guests, register them, pre-register credit cards, enter all auction sales and donations, process payments at checkout and enter data all while at a computer station using our Auctria software. Some volunteers will pull bidder packets from the bid boxes and file paperwork.
All Night - check in 5pm

*LIVE AUCTION: BID SPOTTERS – You will point out bidders to the auctioneer with a flashing light and say thank you to winning bidders in your section during the Live Auction. You will be assigned to a set of tables to monitor for the duration of the Live Auction, including the opening portion of the live auction when items are auctioned off.
7pm until Live auction is over

*LIVE AUCTION: PRESENTERS – You will walk the Live Auction Items around the ballroom during the Live Auction for the bidders to see as they are being auctioned off.
7pm until Live auction is over

LIVE AUCTION: RECORDERS – Working with a partner, you will record the live auction winning bid numbers and dollar amounts by hand including Live Auction Items, Dessert Dash and Raffle.
7pm until live auction is over

LIVE AUCTION: RUNNERS – You will be responsible for quickly getting the live auction recorder form for each item and taking it to the checkout area, including the Dessert Dash and Raffle.
